1. Introduction

AiMi Technologies AB ("AiMi", "we", "us", or "our") respects your privacy. This Privacy Policy explains how we collect, use, disclose, store, and safeguard personal data when you:

• visit our website at https://aimi.technology (the "Website");

• communicate with us as a prospective or current customer, business contact, or vendor (including by email, phone, video call, or chat/messaging platforms);

• use the AiMi platform (the "Platform") as an individual account holder.

AiMi Technologies AB is established in Sweden. Our lead supervisory authority is the Swedish Authority for Privacy Protection (Integritetsskyddsmyndigheten – IMY).

This policy is linked from the Website footer and from within the Platform itself, so it is reachable regardless of how you interact with us.

2. Scope

This policy covers personal data that AiMi decides how to use in its own right, as a data controller. This includes:

• Website visitors (cookies, analytics)

• Business contacts — prospects, customer contacts, partners, vendors (whether by email, calls, or messaging/collaboration platforms)

• Platform account holders, in respect of account, login, security, and usage data (see Section 3.3)

This policy does not cover Client Data. Under AiMi's Master Services Agreement with each customer ("Client"), "Client Data" means any information or data provided or owned by Client and stored on the Platform for use in connection with the Software, including any copies or extracts of such information or data created by AiMi in providing the Services. Personal data forming part of Client Data ("Client Personal Data") is processed by or on behalf of AiMi solely on Client's behalf, in connection with the Services, under a Data Processing Agreement between AiMi and Client. Client is the controller of that data, not AiMi.

If you have a question or request about Client Personal Data, please direct it to your own organisation in the first instance, rather than to AiMi — AiMi will forward any request it receives directly to Client, consistent with our contractual obligations.

3. Personal Data We Collect

3.1 Website Visitors

• Usage data: IP address, browser type, operating system, device identifiers, referring URLs, pages viewed, access times

• Cookies and similar technologies (see Section 8)

3.2 Business Contacts

• Identity and contact information: name, company name, job title, email address, telephone number, business address

• Correspondence: emails, meeting notes, call recordings and transcripts, messaging/collaboration platform messages, form submissions, enquiry details

3.3 Platform Account Holders (AiMi as controller)

• Account and authentication data: name, work email, login credentials, SSO/SCIM identifiers provided by your organisation's administrator

• Security and audit logs: login times, IP addresses, session activity, device information

• Product usage analytics: features used, frequency of use, in-app behaviour, for AiMi's own product improvement purposes

This is distinct from the Client Data described in Section 2, which AiMi processes only as a processor.

3.4 Job Applicants

If you apply for a role at AiMi, we collect the information you provide in your application, which may include sensitive personal information you choose to disclose (for example, in relation to a disability accommodation request). We only process such information with your explicit consent or as otherwise permitted by law.

4. Legal Bases for Processing

  • Consent — for example, marketing communications, or sensitive information you choose to share in a job application

  • Contractual necessity — to take steps at your request before entering into a contract, or to perform one

  • Legitimate interests — to operate, secure, and improve our business, Website, and Platform account infrastructure, where not overridden by your rights

  • Legal obligations — to comply with applicable laws and lawful requests from authorities


5. Purposes of Processing

  • Responding to enquiries, demos, and information requests

  • Maintaining relationships with customers, partners, and vendors

  • Marketing and promotional activities, where permitted or consented to

  • Recruitment and hiring

  • Operating and securing Platform accounts, and improving the Platform based on usage patterns

  • Website analytics and improvement

  • Security, fraud prevention, and legal compliance

6. Who We Share Personal Data With

We use service providers to support our business, including CRM and marketing tools, client communication tools, meeting recording and transcription, support ticketing, and infrastructure hosting. Data shared with each is limited to what's necessary for its stated purpose.

If you are a Client of AiMi's Platform, the specific sub-processors used to deliver the Services to you are listed in Annex 2 of your Data Processing Agreement with AiMi.

We may also share personal data with:

    • Professional advisers (legal, audit, compliance)

    • Public authorities or regulators, where required by law

    • A successor entity, in connection with a merger, acquisition, or sale of assets

All service providers are required to process personal data securely and only on our instructions, consistent with applicable law.

7. International Data Transfers

Some of the providers listed in Section 6 are located outside the EEA/UK, including in the United States. Where this is the case, we rely on appropriate safeguards, including the EU Standard Contractual Clauses, the UK International Data Transfer Addendum, or adequacy decisions, as applicable to each provider.

8. Cookies and Tracking Technologies

We use cookies and similar technologies on the Website to:

    • Enable essential Website functionality (strictly necessary cookies)

    • Analyse Website usage and performance (performance cookies)

    • Remember your preferences (functionality cookies)

You can configure your browser to refuse cookies or alert you when they're being set. Disabling cookies may affect Website functionality. For general information about cookies, see www.aboutcookies.org.

9. Data Retention

We retain personal data only for as long as necessary for the purposes described in this policy, unless a longer period is required or permitted by law. Retention periods for Client Data are governed by the applicable Data Processing Agreement, not this policy.

10. Data Security

We implement technical, organisational, and administrative measures designed to protect personal data against unauthorised access, loss, misuse, or alteration. No system is completely secure, and we cannot guarantee absolute security.

11. Your Rights

Subject to applicable law, you may have the right to:

    • Access the personal data we hold about you

    • Correct inaccurate personal data

    • Request erasure of your personal data

    • Restrict or object to our processing, including where based on legitimate interests

    • Receive your data in a portable format, where processed by automated means and based on consent

    • Withdraw consent at any time, where processing is based on consent

    • Opt out of marketing communications at any time

These rights apply to data AiMi holds as controller (Sections 3.1–3.4). If your query concerns Client Data processed via the Platform, please see Section 2 — that request should go to your own organisation.

You also have the right to lodge a complaint with a supervisory authority — see Section 12.

12. Supervisory Authority

AiMi Technologies AB is supervised by the Swedish Authority for Privacy Protection (Integritetsskyddsmyndigheten – IMY). If you are located elsewhere in the EU/EEA or the UK, you may also lodge a complaint with your local data protection authority.

13. Children's Data

Our Website and Platform are directed at business professionals and are not intended for use by children. We do not knowingly collect personal data from children.

14. Third-Party Websites

Our Website may contain links to third-party websites. We are not responsible for the privacy practices or content of such websites and encourage you to review their privacy policies.

15. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated “Last Updated” date.
